These phrases show empathy and appreciation for the feedback.


Next, it’s a good idea to apologize sincerely. A heartfelt apology can go a long way in diffusing tension. Use these phrases:

Please accept our sincerest apologies for this issue.

After acknowledging and apologizing, it’s time to ask for more details if needed. This helps you understand the issue better. Try these phrases:

Next, you need to propose a solution. Offer a clear plan of action to resolve the complaint. Here are some phrases to use:

We are offering a discount on your next purchase as a goodwill gesture.

It’s also crucial to follow up after the issue has been addressed. This shows that you care about the resolution and the customer’s satisfaction. Use these phrases:

Common Mistakes to Avoid

Being defensive: Avoid defending yourself or the company right away. Instead, listen to the complaint and show empathy.
